Rental Information and Policy

Please note that the first floor of the Arts Station is currently accessible. 

  • The Events Calendar is only a representation of public events at the Arts Station and does not represent the availability of spaces. Please fill out at Rental Application Form to inquire about availability. Please note that the Arts Station has ongoing programming and the facilities get booked out 2-3 months ahead. For best availability please plan in advance (Tues-Thurs are the busiest days so consider this when choosing a date).
  • Please read the FDAC Theatre Policy 2019 before putting in your request.
  • For bookings a deposit of $100 which is returned after the event if no additional charges occur (eg cleaning). Bookings are not confirmed until this payment is made.
  • Full payment is required 4 weeks out.
  •  Refunds:
    • 4 weeks notice the deposit will be refunded less a 15% admin fee
    • 2 weeks notice the payment will be refunded 50% less a 15% admin fee
    • Less than 2 weeks no refund will be made
  • ACCESS: Prior to a booking all paper work must be completed and signed. A staff representative will be present during your event for safety. They are not able to assist with the event or complete any paperwork on behalf on the organisation. A waiver must be signed; read our Waiver in advance here: WAIVER OF LIABILITY AND INDEMITY
  • When booking, make sure to include set up and clear up time. Access to space will start from the time you have booked the space and will not be available before.
  • EQUIPMENT: With a private rental, you are responsible for set up, staff and equipment. Only chairs and tables are included in the rental. Please note we do not have glassware, ice machine or bar related equipment available to use. Rental of our technical equipment will incur an additional fee.
  • Tech:
    • In order to make use of our tech equipment, one of our approved sound techs must be hired at a cost of $35 per hour.
    • When booking, please provide a tech requirements sheet including all the equipment you wish to use and the times that you will need it. (If you unsure of your requirements, please contact us to discuss.)
    • Tech time will be quoted based on information given. If tech is required above the amount requested the final bill will reflect this.
  • LIQUOR: If you wish to have alcohol at your event, you need to privately obtain a Special Occasions Liquor license. We need a copy for our records ahead of the event.
  • INSURANCE: As a City of Fernie building, any liquored event at the Arts Station needs to be insured with 5 million liability with the Arts Station and the City of Fernie as named parties and the policy certificate provided ahead of the event.
  • FUNDING: If you are hoping to use the Arts Station for a future project and are stating use of one of our areas in your funding application, you must contact us prior to submitting your application (at least 6 weeks).
  • Marketing: Private events cannot use the Arts Station logo. Marketing materials can be placed on the first notice board outside only. The Arts Station may share marketing materials on request if it fits into our mandate (ie. art events).
  • * Please note, the Arts Station is currently not accessible. We will be undergoing renovations in Summer 2019 as step 1 of our accessibility plan. We are sorry for the inconvenience.
